Voting and Attendance Portal Instructions

The Faculty Senate Office records votes and meeting attendance via our Senate portal, powered by PowerApps. This system is easily accessed via browser.

NOTE:

All senators, remote or in-person, should use the voting and attendance portals. Committee Expert Guests or Standing Rules-Required members (formerly known as “Resource” members) do not need to log attendance or vote.

Attendance for both committee and plenary meetings must be taken via the portal—other methods will be counted as an absence unless corrected. Please reach out the Senate Office if you encounter any issues.

Logging In to the Senate Portal

Logging into the Microsoft PowerApps voting and attendance portals system requires entering the following.

  • Your full PSU email address (ex. abc111@psu.edu). Please use ONLY Penn State Access ID Email addresses, and do not use alias emails as this system compares your entry with PSU emails that are logged into the database to verify authorized voting Senators.
  • If clicking next doesn’t default you to the Penn State-branded screen, go back and click “sign-in options,” then “Sign in to an organization,” and type psu.edu as the domain name.
  • Your two-step verification platform, Duo OR Microsoft MFA. This will log you in the same way you log in to Microsoft Outlook at PSU.
    1. IMPORTANT: If you have migrated to Microsoft MFA, users may need to press the “fix connection” button upon first login to the portal after migrating.

If these data points do not match a contact in our database, the user will receive an error message that says “It looks like you don’t have access.” If encountered, please click the “contact the Senate Office” button or email dpa5413@psu.edu. If you are unable to log in during a meeting, please contact us and we will enter your votes and attendance manually.

Open a web browser (such as Google Chrome or Microsoft Edge) and use this URL to access the Faculty Senate attendance portal: https://apps.powerapps.com/play/73574a32-2a2e-4b22-9e67-9ff35660cad3

To record your committee attendance, simply click on the above attendance portal link during your morning meeting. On the back end, we will have your committee assignment recorded if you’re a senator, so it will automatically assign your attendance to the right committee. The same process will apply after you visit the portal a second time during the afternoon senate Plenary meeting.

Voting

Please follow the instructions below for using our Microsoft PowerApps portal to vote during Senate meetings. All you need is a web browser and the ability to verify your two-step authentication via Microsoft MFA or Duo to vote. A Senate office staff member will be monitoring the incoming votes.

Logging In

Open a web browser (such as Google Chrome or Microsoft Edge) and use this URL to access the Faculty Senate voting portal: https://apps.powerapps.com/play/73574a32-2a2e-4b22-9e67-9ff35660cad3?VoteID=FSO

Sign in as you usually would to access Microsoft Outlook, for example. Please use only your basic PSU email address (ex. abc123@psu.edu), not an alias email address. Only active senators will be able to access the portal.

Once logged in, you will see open polls that you will be able to vote on. If you logged in early and you don’t see a poll posted after we start discussing it, you can click the “refresh” button, or just manually refresh the page. Once you’re done, you should see a “you currently do not have any polls to vote on” screen.
